Meeting Minutes of the James A Tuttle Library Trustees
September 10, 2019

Meeting called to order @ 6:38 by chair Steve Ullman: motion to approve by Nancy Blair, seconded by Margie Warner: motioned passed.

Members present Nancy Blair, Shelly Connolly, Steve Ullman, Margie Warner, and Rick Wood. Library Director, Cindy Jewett also in attendance.

Treasurer’s Report was presented and accepted:

We will not come in under budget for oil this year. Shelly is looking into this.

The telephone bill has doubled. We are now being charged for the internet.

Rick asked what line item contained the IT monies. This needs to be looked

We will need a warrant to ask for NHPDIP monies to do major library repairs. The CIP (Capital Improvement Program) will need to approve for improvements.

Monies from the town and from the Library Trust could be a possibility for repairs.

Shelly clarified Library Trust monies managed by Trustees of the Trust.

Library Director’s Report for September:

Library survey going on during the month.
Merrifield Room sign arrived and will be displayed.
The board voted to send Cindy to Washington DC for Library of Congress Surplus Books Program, She will be able to update the parenting, homeschooling and test-prep section with about $4,000 worth of free books!! Nancy moved and Rick seconded. Motion passed.

Discussion of raise for library employees. Salary seems to be below nearby towns with similar populations. This will be researched further.

Old Business:

We need to meet with Treadwell, our IT Provider. There is no contract in place and nothing billed since January. Rick will make a phone call to Treadwell.

We have another interest in providing the services. Nancy made a motion to have Rick move forward with this and Margie seconded. The motion passed.

Little library will be painted by Avenue A.

Physical Infrastructure Issues that need attention:

a) outside painting

b) HVAC future

c) cobblestones

d) ceiling water damage in the original front foyer

e) emergency exit door off game room needs replacement

f) security system: this could be a computer issue

g) basement floor needs piping removed and repaving

h) door to dumb waiter needs attention

Cindy assured us that insurance coverage is adequate

Margie and Cindy are working on Library Director Evaluations

Cindy is moving forward with employee evaluations: each employee is establishing their goals.

New Business:

Fire Marshall’s Survey of Occupancy has been completed. We are in compliance and all set.

Rick is looking into the complaint of rain run-off in the neighbors’ driveway.

Ron Mayer of Pierce Lake Road in Antrim passed away and has designated donations to be given to the library. We have received $1600 to date.

Library Retreat for JATL staff and trustees on September 27th.

Motion to adjourn @ 8:15 PM by Nancy, seconded by Shelly. Motion passed.
