TUTTLE LIBRARY TRUSTEES MEETING MINUTES
January 12th, 2021

Members Present:  Shelly Connolly, Rick Wood, Diane Kendall and Nancy Blair.  Steve Ullman via Zoom.
Library Director, Cynthia Jewett, was also present.

Meeting called to order by Chair, Rick Wood at 6:30 PM.

  • Jeff Merrifield joined us as a guest via Zoom at the invitation of Cindy. His family has been very generous in support of the library both in the past and quite recently upon the death of his father in December. To this point the library has received over $11,000 in donations in memory of his parents. Jeff had no particular requests on how to spend the money, but youth services would be very important to his mom and his dad was fond of military history. Shelly noted that The Merrifield Room plans would be particularly geared to youth.
  • Steve moved and Nancy seconded acceptance of the December Meeting Minutes. Motion passed.
  • Correspondence from Ellen: A thank you note to the Trustees for the Holiday Bonus.

Treasurer’s Report: was discussed and there is nothing out of the ordinary to report.

  • Still have not heard from the Town on the 2021 Budget.
  • Monies are down from the Trustees of the Trust from last year.
  • We have a higher amount of money left in our budget going into the new year. How should we handle this? Should we have a couple of projects planned to reduce the balance?

Library Director's Report:

  • Databases doing VERY well! Searches way up!
  • Rick spoke with Donna Hanson about a letter to Deering Selectmen for a donation to Deering residents use of our databases. Donna says no problem with this. Diane recommended that we ask the Deering Library Trustees for a donation because there are Library Trustees and they DO have funds!
  • Melissa is in charge of ILL via NHAIS and Apollo.
  • Ellen is in charge of overdues, material problems and patron files.
  • Laurie is in charge of youth services. She has $2000 to update the collection. She's looking into a Cricut Machine, laminate machine and pricing Makers Space.
  • Christopher is learning circulation desk duties and tech help.
  • We received the ALA Grant, which Cindy is very excited about. She has a plan for this. Will use some of it for databases next year, 2 hot spots, 2 i-pads or chrome books and a Zoom subscription.
  • We were awarded $300 from Matrix Gives. Recommended by someone, but not clear who!
  • State statistics will begin in February.
  • Children's desk is in the works! A bit of a delay but coming along.
  • We have over 200 magazines on Overdrive until July.

Old Business:

  • Commemorative plaques have come in and need to be installed. Rick volunteered to do this! A plaque for The Merrifield Table needs to be ordered.|Library Director Evaluation has been completed and was presented to the Trustees.  Follow-up of where this evaluation should be filed. Should be kept in Cindy's file in the Library. She has no locking file, so Steve moved and Diane seconded a $200.00 amount for Cindy to purchase a locking file cabinet. We need to check on whether or not this evaluation file should be across the street with the Town. We will check with Connie as a member of the NHLTA.
  • No updates on capitol improvements. Matthew is very busy with tech at the schools. There will need to be some upgrades according to Cindy.  Some ceilings need work, but have to wait til it rains to see what to do! Someone has looked at the walls in the Bio Room. Waiting for an estimate. Also two windows need replacement but there is a backlog of about a month. All of this will most likely fall under town maintenance budget.|Two new positions for Trustees in March.  Shelly plans to run again.  Diane asked if we wanted her. It was a resounding YES from the committee.
  • Shelly has found all but October and May minutes of 2017. Not sure where else to look?
  • Diane's purchasing policy was reviewed, some things were clarified and Cindy will organize comments, type everything up, clean things up and then Trustees will review again. Diane, Shelly and Cindy will do a Process Audit before the purchasing policy is finalized.

New Business:

  • Discussion of what to do for Merrifield Memorial Recognition. Staff will be asked for ideas! Suggestion to name the room after both Nancy and Peter.
  • Rick submitted The Trustees Report for the Town Report. All reports have been submitted.
  • Limrik deadline is February 10th.
  • Additional hours were suggested for Christopher. Steven moved and Diane seconded that the library Director increase Christopher's hours to 11 hours each week. The motion passed.
  • Perhaps the Trustees, during strategic planning, could consider educational reimbursement for staff. Also, the possibility of a scholarship from the Library Trustees.
  • Name the Lion Contest is happening during February.
  • Trustee Roundtable on January 27th. Cost is $10.00. Anyone who attends should ask for reimbursement
  • Steve will head up a group to nominate Cindy for Librarian of the Year!

Steve moved and Shelly seconded to adjourn the meeting @ 7:45PM
