Trustee Minutes

In attendance:
Susan Bartlett, Nancy Blair, Cindy Jewett, Diane Kendal, Steve Ullman, Rick Wood.

Public Comment:
An Antrim resident requested clarification concerning a no trespassing order. The Trustees and Director are seeking guidance from Town Administration on what information can be shared. 
Any further discussion regarding the issue will occur during a nonpublic session.

Agenda:
Nancy moved to approve the agenda, Diane seconded the motion.

Correspondence:
Trustees received a thank you from the staff for the staff appreciation gift for 2021

Treasurer’s report:

  • 650.00 donations itemized in report for December, 2021
  • Received grant from association of rural and small libraries New England
  • Bills for December which are processed in January are entered for December
  • Trust fund income for 2020 was received in 2021
  • Budget – review for budget and warrant articles – any notifications about reviews – should be posted in January for the March town meeting. Ballot registration needs to happen by January 18th
  • The 8400 for consultant is part of the review
  • Note new line item – “Restricted Donations”

Director’s report:

  • Overall: branching out into other areas of media 
  • Interlibrary Loan twice the number this past year
  • Update teen room and front area with a suggested youth advisory group
  • Chili festival – February 5 with Grapevine family snow day (BBC came in 2020!!) Cindy suggests having an official award, plaque and chili bling
  • Shelving in the stack room- needs canopies and side panels will keep the books clean– possibly $15,000 to complete – need a proposal to present to the trustees – Cindy will bring a proposal next month, February
  • Fireplace needs cleaning and a suggestion for an ornamental insert, possibly dried flowers or birch logs with tiny lights.

Old Business:

  • Gazebo project – we can place an order at our discretion
  • See report on pricing spreadsheet
  • Need to decide on size.
  • 50% cost share with historical society
  • Diane moved that the trustees issue a purchase order for $ 21,713.30, @50% cost share with the AHS for a 16 foot gazebo from Amish Country Gazebos Incorporated.
  • Susan seconded the motion.

  • Town report – Cindy, Rick and Diane are completing library report for the annual town report

Friends of the Library:
Nancy proposed that we put shelving in for decorations in the basement – may be too wet for storing some items – could the Friends of the Library take on the care of the Festival of the Trees materials and decorations? Possibly ask Ave A to get involved? Cindy knows someone who might like to build shelving.
